OCEANIA/WORLD CUP ORIENTEERING CARNIVAL

JOB DESCRIPTION

The Oceania/World Cup Orienteering Carnival, to be held in the lower North Island (Taranaki to Hawkes Bay) from January 4 to 13, 2013, wishes to appoint an Event Director. The Event Director will work closely with the Steering Group, the Organising Committee, the National Controller, the Event Treasurer and the organisers of individual club events to ensure a successful Carnival for clubs, competitors and the New Zealand Orienteering Federation.

Reporting:
The Event Director will report regularly to the Steering Group on progress and the future work programme. The Steering Group is chaired by Graham Fortune and includes the Chairman of the Organising Committee (David Turner), the National Controller, an NZOF representative, a Hawkes Bay representative, and the Wellington Orienteering Association Chairman. Other key contacts will be the Event Treasurer who will have responsibility for the event financials, and representatives of the participating clubs.

Location:
The Event Director will be expected to work independently. The Carnival does not have permanent offices. Meetings are likely to take place at 86 Customhouse Quay, Wellington.

Event Directors Responsibilities:
- overall financial management and budgetary control, including cashflow, in consultation with the Event Treasurer;
- validating and updating the event budget and costing of major expenditure items, in consultation with the Steering Group and the Event Treasurer;
- validating and updating the Event Plan including a timeline and key milestones, in consultation with the Steering Group and National Controller;
- identifying and securing external income for the Carnival, including sponsorship, local government/tourism support, private finance; community/gaming trust funding (local sponsorship or trust funding for specific events will be the responsibility of the relevant club);
- marketing, promotion and publicity for the Carnival as a whole, in consultation with local Councils and/or Tourism Offices, including PR, media, internet, flyers, and promotion through orienteering magazines and major local and international orienteering events;
- identifying and securing cash and/or in-kind sponsorship and support, e.g. for information bulletins, registration packs, any other printing or publications, hospitality and entertainment, car hire, visitor accommodation;
- ensuring that the World Cup events satisfy any IOF organisational requirements in line with the IOF Contract, such as event arenas, media profile, on-site results, on-line results, audio internet broadcast, race commentary, victory ceremonies, etc. (IOF technical requirements will be the responsibility of the National Controller);
- liaison with Drug Free Sport New Zealand with regard to testing of World Cup athletes, if required;
- preparing an Event Checklist for the World Cup and Oceania Competition events, in consultation with the Organising Committee and the National Controller;
- overseeing the Oceania/World Cup website, including entry forms and World Cup information Bulletins;
- administration of entries and entry fees;
- liaison with teams and athletes attending the World Cup races, both before and during the competition.
- advice for World Cup teams and athletes on accommodation and travel options and booking procedures
- organisation of any transport to events provided for World Cup teams and athletes during the World Cup competition;
- arrangements for VIPs and sponsors
- liaison with press, TV, internet and other media, including international orienteering media;
- communication and liaison as appropriate with the IOF, NZOF and the clubs hosting Oceania and/or World Cup races.

The Event Director will also work with members of the Organising Committee with responsibility for:
merchandising
- registration packs
- hospitality, entertainment and social programme
- event arenas and logistics
- race commentary
- event IT, including results display, on-line results, internet broadcast/video, etc.
- co-ordinating opening and victory ceremonies, including prizes, medals and certificates for both the Oceania and World Cup competitions

Proposed terms:
Maximum of 1000 hours between August 2011 and January 2013 inclusive, at $25 an hour. The busiest periods are expected to be the first couple of months, and from September 2012 to January 2013.

- a statement of relevant experience in similar or comparable events (maximum two pages)
- a statement of your knowledge of and experience in orienteering (maximum one page)
- an indication of the specific skills you would bring to this post and how you would operate within, and add value to, this organisational structure (maximum one page)
- an indication of your earliest availability
